1. Welcome & first-time setup
This guide explains how to use the app day to day. The app is offline-first: your business records are stored on your device, so backups are important (see chapter 13).
Creating your business
- On first launch, tap Create Business and enter your business name.
- Choose your activity type (e.g. Grocery, Retail, Restaurant), your financial day-end time, and your default sales mode (Shop or Trade).
- You can change all of these later in Settings → Manage Businesses.
Finding your way around
The bottom bar has Home (dashboard), Daily Book, a central + button for quick actions, Files, and Menu. Menu opens everything else: Invoices, Reports, Staff, Calculators, To-Do, Personal Space and Settings.
Tip: the business name at the top of most screens is a switcher — tap it to move between businesses if you run more than one.
2. Security, PIN & recovery
You can protect the app with a PIN (and Face ID where available). Keep your recovery key safe — it is the only way back in if you forget your PIN.
Setting a PIN
- During setup, or in Settings → Security, choose a PIN.
- You will then be shown a recovery key. Write it down and store it somewhere safe and private.
Unlocking
When protection is on, the app asks for your PIN (or Face ID) each time you open it.
If you forget your PIN
- On the unlock screen, choose Forgot PIN and enter your recovery key.
- You can then set a new PIN.
Biometric unlock and private areas
- Where supported by your device, biometric unlock can help protect app access and private areas.
- Encrypted notes, private files and protected backups may not be recoverable if the required PIN, recovery key or backup password is lost.
Important: for your privacy the app cannot reveal a forgotten PIN. If both the PIN and the recovery key are lost, access to protected areas may be lost permanently. Never share your PIN, recovery key or backup password.
3. The Dashboard
The Home dashboard gives you a quick read on the business for a chosen period.
Financial snapshot
See income, expenses and net for the selected period. Use the period selector to switch between Today, This Week, This Month or a custom range.
Needs Attention
- Draft days that still need finishing.
- Files that need sorting — tap it to jump to the File Centre Unsorted tab.
- Urgent to-do tasks.
Recent activity & quick actions
Recent entries are listed for fast access, and the quick-action buttons jump straight to the screens you use most.
4. Daily Book — recording a day
The Daily Book is where you record each trading day. Pick Shop Mode if you take a till/Z reading, or Trade Mode for direct sales.
Shop Mode (till / Z report)
- Enter your Z Total — the till total for the day.
- Add Card Sales and Bank Sales if you take them; the app works out the expected cash.
- Enter the Cash Found and the app shows the difference (over or short).
Trade Mode (direct sales)
Enter Cash, Card and Bank sales directly. Use this when there is no till reading.
Income, expenses, payments & notes
- Use Add Income / Add Expense / Add Daily Payment to log money in and out, choosing the category and the account it affects.
- Attach a receipt or photo to any entry, and add notes where useful.
Save Draft vs Complete
Save Draft keeps the day editable. Complete locks the day and posts the totals to your accounts. Completed days are protected from casual edits, so only complete a day once the figures are final.
Reusing a day
Copy Previous Day or Repeat Daily Book let you start from a similar day instead of entering everything again.
5. Refunds & corrections
Refunds reverse money correctly so your accounts and reports stay accurate.
Recording a refund
- Open Record Refund and choose the direction: Money In (a refund you receive) or Payment Out (a refund you give).
- Choose the refund source, enter the amount, the account, a reason and the date.
Invoice refunds
For a customer refund on an invoice, use Record Refund on the invoice itself so the invoice status and balance update.
Corrections
If a completed day or posted record needs correcting, use the app correction or refund flow where available instead of creating a second unrelated entry. Keep a clear reason in the note field.
Refunds and corrections adjust linked account balances and reports. Always check the account, amount, date and reason before saving.
6. Accounts
Accounts track where your money sits — typically Cash Account, Main Bank and Card Account. You can rename them or add your own.
Viewing balances and the ledger
The Accounts screen shows each account balance. Open an account to see its ledger — every movement in and out.
Transfer between accounts
- Choose the From and To accounts, the amount and the date; the app moves the balance and records both sides.
Reconcile an account
- Enter the actual balance from your bank; the app shows the difference against the expected balance so you can spot mistakes.
Default account names (Cash Account, Main Bank, Card Account) appear translated; if you rename an account, your typed name is always kept.
7. Invoices & Quotes
Create professional invoices and quotes, record payments, and share PDFs.
Creating an invoice or quote
- Open Invoices and tap New. Pick a customer (or add one), add line items, and set tax where it applies.
- Quotes work the same way and can be converted to an invoice later.
Numbering & settings
In Invoice Settings you can set the prefix (e.g. INV), the next number and the number length. Changes apply to new invoices only.
Recording payments
- Use Record Payment for partial or full payments; the status updates to Partial or Paid and the money is credited to the chosen account.
- Choose the payment method that matches what the customer used, such as Bank, Cash, Card, PayPal or Amex, when those options are enabled in your setup.
- Payment History shows everything received against an invoice.
Sharing
Preview and share the invoice PDF. Document codes such as INV-009 and currency codes are kept exactly as shown.
8. Reports
Reports turn your day-to-day entries into a clear picture of performance.
Performance trend
- See Sales, Expenses and Net over time. Tap a legend item to show or hide that line — Sales is green, Expenses orange, Net navy.
- If only one day has data, you get a simple three-card summary instead of a line.
Distribution
Switch to Distribution to break sales down by payment method or by category.
Filtering & exporting
Use the period and business filters to focus the report, then export it as a PDF when you need to share it.
9. File Centre
The File Centre keeps your receipts, statements and documents organised in folders.
Default folders
Ready-made folders include Daily Sales, Bank Statements, Receipts, Supplier Documents, Staff Wages and Sales Invoices. You can add your own folders too.
Adding files
- Add a file from the camera, your photo library or your documents.
- New files start as Unsorted — open Sort to choose the folder, type and details, and the file is filed away.
Viewing files
Tap a file to view it in the app. If it cannot be shown, use Open Externally to view it in another app.
The app asks for camera, photos or files permission only when you choose to attach or pick a file.
10. Accountant Pack
The Accountant Pack bundles the files and records your accountant needs into one export.
Building a pack
- Mark files and records to include in the next export as you go.
- Open the Accountant Pack to review what is included, then generate the pack.
Sharing & history
Share the generated pack with your accountant. Previous packs are kept so you can find or re-share them later.
Always check the contents of an export before sending it to a third party.
10A. Personal Space / Private Vault
Personal Space is for private notes and files that you want to keep separate from normal business records.
What to store there
- Use it for private notes, sensitive reminders, or files that should not appear in normal business lists.
- Items may be protected with app security and local encryption, depending on the feature and device support.
Recovery limits
- Encrypted notes and files may be impossible to recover if the required PIN, recovery key, device credentials, or backup password are lost.
Never send private vault content, PINs, recovery keys or backup passwords to support.
11. Staff & Wages
Track staff, record wages, and plan shifts.
Adding staff
- Add a staff member and choose whether they are paid Hourly or by Fixed Salary, plus their payment method, pay cycle, break and default account.
Recording a wage
- Open Add Wage. The wage type follows the staff member — change it in Edit Staff if needed.
- Add hours, deductions and any additions; the app calculates the net pay. Mark it Paid to record the payment from an account.
Rota & shifts
Plan a weekly rota and shifts, and share it with the team.
12. Calculators & To-Do
Handy tools for quick sums and day-to-day tasks.
Calculators
- Profit, VAT, Discount, Offer and Price calculators help with everyday pricing decisions.
- Set up tax rates once and reuse them; calculator history keeps your recent results.
To-Do
- Create lists and tasks, set a priority and a due date, and mark a task Personal or Business.
- Use the filters (Type, Due, Urgency) to focus the view. Tap a task to see its full details and note; the edit icon opens it for changes.
13. Backup, restore & multiple businesses
Because your data lives on the device, regular backups protect you against a lost or replaced phone.
Backing up
- In Settings → Backup & Restore, create a backup. The Backup row on the Settings home shows when you last backed up.
- Store backup files somewhere safe because they can contain business records, attachments and private content.
- If you set a backup password, keep it somewhere safe. Till Note cannot recover a backup password for you.
Restoring
You can restore from a backup during setup or from Settings → Backup & Restore. Restoring can replace or merge important local data depending on the restore flow, so check the result before carrying on.
Multiple businesses
Add more businesses in Settings → Manage Businesses, and switch between them using the name at the top of the screen. Each business keeps its own data, so check the active business name before adding invoices, wages, files or daily-book entries.
Recycle Bin
Deleted items move to the Recycle Bin in Settings, where some can be restored. The Recycle Bin is not a full backup system, and some deletes or external files may not be recoverable.
This app helps you organise bookkeeping; it is not a substitute for professional accounting or tax advice. Check your records with an accountant before filing.
14. Getting safe support
Support can help with app questions, but you should protect sensitive records when asking for help.
Safe to send
- Device model, operating system version, app version and the name of the screen where the issue happened.
- A short description of what you tapped and what happened.
- Screenshots with customer names, full bank details, private notes and financial totals hidden where possible.
Never send
- PINs, recovery keys, backup passwords or device passcodes.
- Full bank details, full card details, private vault files, or unredacted financial records.
